How to run a donation drive at work, start to finish

To run a donation drive at work, settle what you are collecting and where it is going before you announce it, keep the ask to two or three items, run it for two or three weeks with labelled boxes where people already walk past, and deliver everything in one load at the end. For a winter survival kit drive with Engage and Change, every item has to be new and on our kit list, and you send us your plan on the interest form before you start.

What your group collects goes into kits that company teams pack on January 16, 2027, for more than 200 front-line agencies across the GTA1.

Seven steps, from the first email to the delivery.

Tell us before you announce anything

Send the Get Involved interest form and tick "Donating kit items." In the message box, say how many people are in your office, school or congregation, which items you have in mind and your dates. Jody, who handles drives for us, will tell you which items the January pack needs most and how the delivery will work. A drive planned around her answer collects what goes into kits.

Pick two or three items

A drive for "anything on the list" tends to come in as dozens of small piles, and kits get packed from big counts of the same item. Two or three items get you there.

Good drive items, all from the kit list1:

  • Socks
  • Toothbrushes and toothpaste
  • Winter hats, scarves or gloves
  • Deodorant
  • Lip balm and hand sanitizer
  • Hand warmers

Put at least one item on the list that costs a few dollars. Some of the people you work with earn a lot less than others, and a pair of socks or a toothbrush lets everyone take part at the same level. Every item has to be new1.

Set a window and a number

Two to three weeks gives everyone a chance to see it, and a reminder three days before the end catches the people who meant to bring something. Make the goal a count ("400 pairs of socks") so everyone can see how close you are.

The kits are packed on January 16, 2027, and every item has to be in hand before then1. For most groups that means a drive in November or early December; Jody will give you the last delivery date.

Have someone senior send the kickoff

When the Australian Government's behavioural economics team tested ways to raise workplace giving, a simple sign-up process plus a message from a senior manager raised participation, and adding gifts as an incentive made no difference2. Their trial was about payroll giving, but both moves cost nothing to try at your office. Ask your CEO, principal or faith leader to send the first note, and skip the prize draw.

Put labelled boxes where people already walk

Use one box per item, labelled with the item and the word NEW, at the front door, the kitchen or the elevator. Post the running count once a week in the team chat or at the staff meeting.

In a hybrid office, let people order online and ship straight to the office, which also means every item arrives new.

Check, sort and count

Go through every box before it leaves. Pull anything used or opened. Keep items loose and don't assemble them into kits, because company teams pack the kits on the day and homemade kits can't be accepted1. Pack each box with one item, write the item and the count on the side, and keep a one-page total.

Deliver once

The organizer delivers the whole drive in one load, at the time agreed with Jody. Staff, students and congregation members don't bring items to us themselves; we take bulk deliveries from the group, never drop-offs from individuals.

Then tell everyone where it went. On January 16, company teams pack 3,500 kits in a single day, and they go out to more than 200 front-line agencies across the GTA, including shelters and outreach programs1. Send that to everyone who gave.

Schools and faith groups

The same drive, at a school or a place of worship.

At a school

Give each class one item, so the counts stay simple and classes can compare. Send a note home that says "new items only," and keep the list to things a student can bring for a few dollars. The school delivers the drive in one load; families don't drop items off with us.

At a faith group

Announce it in the bulletin and from the front two weeks running, and put the boxes in the hall where people gather after services. One person owns the count.

Or raise money

Some groups collect money instead.

A jeans day at work, a spin-a-thon or a casino night can raise money for kits without anyone shopping for items1. $50 helps build a kit, and because we buy at wholesale, the money goes further than the same amount spent at a store1. How do you organize a donation drive at work?

Agree on the items and the destination first, then pick two or three items, set a two to three week window with a target count, ask a senior leader to send the kickoff, put labelled boxes in busy spots and deliver everything in one load. For an Engage and Change drive, send us your plan on the interest form before you start.

What are good office donation drive ideas for winter?

New socks, toothbrushes, winter hats, gloves, deodorant, lip balm and hand warmers are all on our kit list1. Keep one low-cost item on your list so everyone can join, and give the drive a number to hit.

Can our school or church run a drive for Engage and Change?

Yes. Schools and faith groups can run a drive of new kit items and deliver it to us in bulk1. Give each class or group one item to collect, send home a "new items only" note, and send us your plan on the interest form first.

Can employees drop off their donations themselves?

No. We take one bulk delivery from the group's organizer and can't accept drop-offs from individuals. Collect everything at your workplace, then deliver it together at the agreed time.

How long should a donation drive run?

Two to three weeks, with a reminder a few days before the end. For the January 16, 2027 pack, finish early enough to deliver before the date Jody gives you.

Can we pack the kits ourselves?

Not as homemade kits; please send items loose. If your team wants to do the packing, companies can bring a team to the January 16 pack or run their own kit pack on a date that suits them. Both start on our For Companies page.
